The information we collect

Information you give us

  • Identity and contact details: name, email address, telephone number, business name, job title or role
  • Enquiry content: the information you provide in enquiry forms, submission forms, questionnaires and correspondence
  • Booking information: details you provide when scheduling a call with us
  • Marketing preferences: whether you have consented to receive marketing emails
  • Payment information: where you purchase a service. Card details are handled by our payment provider and are not stored by us
  • Client delivery information: biographical details, professional background, media history and other material you provide so that we can deliver PR services to you

Information collected automatically

  • Technical data: IP address, browser type and version, device type, operating system, time zone setting
  • Usage data: pages viewed, time spent on pages, links clicked, referring source
  • Video engagement data: whether and how far you watch videos embedded on our pages

Automatically collected information is gathered through cookies and similar technologies. See our Cookie Policy for detail, including which of these require your consent.

Information from other sources

  • Publicly available professional information, for example a public website, professional profile or published article, where we are researching whether our services may be relevant to you
  • Information from our scheduling and email platforms about whether emails were delivered, opened or clicked

Calls and meetings

Where we hold calls or meetings by video conference, we may record and transcribe them for internal note-taking, service delivery and training purposes.

Where a call is to be recorded you will be told at the start of the call and can ask us not to record it.

Where we rely on legitimate interests, we have considered whether our interests are overridden by your rights, and you can object at any time using the details in this policy.

Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did before you withdrew it.

Marketing

We send marketing emails only where you have opted in.

Every marketing email includes an unsubscribe link. You can also ask us to stop at any time by emailing hello@dauntlesspr.com.

Opting out of marketing does not stop us sending you communications that are necessary to deliver a service you have purchased.

Who we share your information with

We do not sell your personal information.

We share personal information with service providers who process it on our behalf, under contract and on our instructions. These fall into the following categories:

  • Customer relationship and website platforms that host our website and hold our contact records. We currently use GoHighLevel (LeadConnector).
  • Website and landing page hosting. We currently use Vercel.
  • Email marketing platforms that deliver our emails and record engagement. We currently use AWeber.
  • Automation platforms that pass information between our systems. We currently use Zapier.
  • Scheduling platforms used to book calls. We currently use Calendly.
  • Analytics providers that tell us how our website is used in aggregate. We currently use Vercel Web Analytics, which does not use cookies, does not store an identifier on your device and does not identify you as an individual.
  • Video hosting and embedding providers. We currently use Wistia and YouTube.
  • Video conferencing and transcription providers used for client and prospect calls. We currently use Zoom and Otter.ai.
  • Payment providers that process payments. We currently use Stripe.
  • Professional advisers such as our accountants and legal advisers, where necessary.

We name our current providers for transparency. If we replace a provider with another in the same category we will update this policy but the categories and purposes above will continue to apply.

We may also disclose personal information where we are required to do so by law, or to establish, exercise or defend legal claims.

Transfers outside the UK

Several of the providers listed above are based in, or store data in, the United States.

Where personal information is transferred outside the UK, we take steps to ensure it is protected to a standard equivalent to UK law. Depending on the provider, this is done through:

  • the UK Extension to the EU-US Data Privacy Framework, where the provider is certified under it, or
  • the International Data Transfer Agreement, or the EU Standard Contractual Clauses together with the UK Addendum

How long we keep your information

At the end of these periods we delete the information or anonymise it so that it can no longer be linked to you.

How we protect your information

We use appropriate technical and organisational measures to protect personal information, including access controls on our systems and the use of reputable providers who maintain their own security standards.

No transmission of information over the internet can be guaranteed as completely secure.

Your rights

Under UK data protection law you have the right to:

  • Be informed about how we use your personal information, which is the purpose of this policy
  • Access a copy of the personal information we hold about you
  • Rectification of inaccurate or incomplete information
  • Erasure of your personal information in certain circumstances
  • Restrict processing of your information in certain circumstances
  • Data portability, meaning you can ask for the information you gave us in a machine-readable format
  • Object to processing carried out on the basis of legitimate interests, and to object at any time to direct marketing
  • Withdraw consent where we rely on consent

We will respond within one month. There is no fee. We may ask you for information to confirm your identity before we act on a request.
